RealtyJuggler FAQ
RealtyJuggler has both Task Plans and DRIP Letter sequences. You can also add Tasks as part of a DRIP sequence.
The easiest way to keep in touch with your clients and leads, and schedule a follow-up is to use the Touch Cycle. Video Tutorial 44 shows how that works:
Tutorial 44 - Touch Cycle
Most of the time, the Touch Cycle will meet your needs, but sometimes you need more control. That's where Task Plans come in. The following tutorial shows how to create your own custom Task Plans:
Tutorial 19 - Create a Task Plan
If your plan includes emails or printed letters, then a DRIP sequence is what you need. Video Tutorial 17 shows how to create a custom DRIP letter Sequences that include Drip Tasks:

Tutorial 44 - Touch Cycle
If you want an email (or SMS text) reminder to call someone at a specific date and time, then an appointment would be the best solution. Video Tutorial 47 shows how that works:
Tutorial 47 - Calendar
Most agents make many outgoing phone calls in a single day. The easiest way to schedule and make those calls is to book a single appointment in your calendar each day for outgoing Phone calls. Use your RealtyJuggler task list to track the outgoing calls, take notes and schedule follow-up calls.
Appointments as well as Tasks (but not AutoTasks) can have email / SMS Text alarms. To enable this feature, check off the "Alarm" check-box inside of an Appointment record or the Alarm drop-down in the Task.
Here's a tutorial that shows how alarms work for appointments:
Tutorial 47 - Calendar
And this video shows how to set an alarm for a Task:
Tutorial 19 - Create a Task Plan
AutoTasks do not generate email alarms. For AutoTasks, we recommending scheduling your office hours into your calendar and then making all your outbound prospecting using what we call the Touch Cycle. Here's a video that shows how that works:
Tutorial 44 - Touch Cycle
There is an important distinction between Tasks and Appointments in RealtyJuggler. Appointments have a date and time associated with them and usually a location as well. You never want to miss an Appointment, so there is no way to mark one done like you can with a Task. Appointments are located on the Main:Calendar page.
Tasks are different. Tasks do not have a time associated with them. They can be marked done. If you forget to complete a task, the task sticks around until you complete it. Tasks can be found on the Main:All Tasks page.
This video has a good example of how to create a daily call list:
Tutorial 44 - Touch Cycle
If your needs are more complex, here's a video on creating a task plan:

You can add a note after any phone number or email address. For example
(970) 555-1212 (Sally)
adds a label of Sally to that phone number. This information is synchronized with your smartphone if you are using Google Sync. As you enter one phone number or email address, another blank will appear. There is space for up to 9 email addresses and phone numbers for each contact or prospect.
The simplest way to handle a spouse is to enter the name of the spouse into the "Spouse" field. Emails and printed letters will automatically be addressed to the couple, like "Jack & Sally". For Spouse phone number, enter the number and then a space and then the name of the spouse into that phone number field. Like this: (970) 555-1212 (Sally). You can do the same thing for spouse email address.
If you are working with a power couple or couple that is getting divorced, you might find it more convenient to give the primary contact and spouse their own independent Contact records. Deal records (like a Listing and Closing) can have multiple Parties for Buyer and Seller allowing for more than one contact record to be marked as a Buyer or Seller.
A third option would be to include the name of both people, for example "Jack & Sally", in the First Name field of the contact record.
Phone numbers and email addresses can be entered into the fields that are right after the Title field. Change the drop-down menu on the left from a phone number label to Email Address to enter an email address. As you fill in 1 field, a new fresh one will appear. You can have up to 9 email address and phone numbers for each Contact record. Add a note to the end of the phone number or email address, like this:
(970) 555-1212 (Sally)

When you transfer a Buyer or Listing record to the Closing database, the old Buyer/Listing record is retained and the status of that record is changed to Contract. We do this just in case your Closing falls thru. If your closing does fall thru, change the status of the closing to Cancelled. You will be prompted if you want to re-Activate the old Buyer/Seller record. If you click "Yes", then you will be taken to the old record, where you can then change the status of that old record back to Active.

Google Sync can be set to automatically update changes made in RealtyJuggler over to Google Contacts and Calendar. The section titled "Automatically Save Changes To Google" of the below manual has additional information on this:
Synchronization
Sign into your Google Contacts and click on the Trash icon in the lower left corner of the screen. This link is a shortcut:
Google Contacts Trash
Click on the Empty Trash Now link on that screen.
I would recommend the following:
1. On your computer, go to Gmail and sign out of your Gmail account. If you have more than one Gmail email address, make sure to sign back into Gmail using the one you intend to sync with.
2. Go to RealtyJuggler Main:Settings:Google Sync and click "Start Sync" and then click on the "Log Out of Google" button.
3. Click "Start Sync" again and then follow the instructions in red and in bold.
4. When you grant access to RealtyJuggler make sure that you are granting the correct Gmail email address permission.
That particular error is specific to an individual contact record. Open that record in Google and trim the notes down to less than 20k total and try the sync again. It is likely that the amount of notes exceed a Google limit.
Sounds like your Google Calendar Time Zone needs to be set.
1. Sign into your Google Calendar. Click the Gear icon in the upper-right corner of the screen, select Settings menu item. Adjust the time zone on that screen.
2. There is an additional Time Zone setting for each calendar as well within Google Calendar. Click on the drop-down arrow to the right of the calendar name. This is located to the left inside of your Google Calendar in the section called My Calendars. You will need to adjust the time zone there as well.
Once you have adjusted both time zones, create a new appointment in Google and a new appointment in RealtyJuggler. Go to Main:Settings:Google Sync and click Start Sync button. Double-check both your Google Calendar and RealtyJuggler - both appointments should be correct in both locations.
You can't make these adjustments from your smart-phone. So, make sure to sign into Google from your computer to make these adjustments.
Once all is working correctly, you can update appointments that are incorrect by going into the appointment within RealtyJuggler and adding a note. That will force the appointment to be rebuilt at the google side with the correct time zone information.

This means that there is something wrong with that email address. Hover your mouse over the email address to an explanation. You can review all of your crossed out emails by going to: Main:Mail:Email Opt Out. A description of each possible condition is listed on that screen as well.
Hard bounce means that the email address is no longer in use or is typed incorrectly. The rate of hard bounces that you get are a factor in your email reputation. A poor email reputation will cause the emails you send to be placed into the junk email folder. You can see the full list of hard bounces by going to Main:Mail:Email Opt Out. Email addresses that have hard bounces will also be marked in red with a line through them within RealtyJuggler.
OptOut means that the recipient of your email has opted out of getting emails from you. There are two levels of Opt Out, the first is OptOutDrip which means that the recipient does not want any drip or bulk emails from you, but would welcome a personally written email from you. The second if OptOutAll and indicates that the recipient would like no further email communication from you at all. The rate of opt outs that you get are a factor in your email reputation. A poor email reputation will cause the emails you send to be placed into the junk email folder. You can see the full list of OptOuts by going to Main:Mail:Email Opt Out. Email addresses that have been opted out will also be marked in red with a line through them within RealtyJuggler.
Complaint means that the recipient of your email believes that you sent a spam email. They do this by marking your emails as spam using the email reader that they are using. There are several ways that you can use RealtyJuggler with Commercial real estate.
The first is by using the Homes database to track your farm of commercial properties. There is a "Commercial" tab inside of the Home records on the left that will be helpful for that. The homes database is perfect to track an inventory of properties for rent or sale (or even if they are not currently for rent or sale).
The second database you will find helpful is the Buyers database. Inside of the buyers database is a tab on the left "Features" which allows you to track the kind of property that the buyer is looking for. There are fields for commercial requirements as well as residential ones and you can also track for lease or to purchase as well.
You can also search the homes database for a match against a buyers requirements and get a ranked list of home records that might match the Buyers needs. That is available in that same "Features" tab.
Of course, you can also use the Contacts and Prospects database to put someone on a Drip or be reminded to contact them again in a few days. So much of real estate is about maintaining relationships, so that is exactly the same whether it is residential or commercial real estate.
RealtyJuggler comes with 101 flyer designs and several of these designs are specifically designed for commercial real estate. To see that go to Main:Flyers. There is a drop-down that lets you select just some flyers based upon a specific criteria - select "Commercial" to see the flyers most suitable for commercial real estate.
You can track Expenses and Commissions as well as the status of your listings and any promotional activities that you are doing to find a buyer (or tenant). That would be done in the Listings database.
RealtyJuggler can also synchronize contacts and calendar with any smart phone.
Feel free to give us a call if you have any questions about additional commercial capabilities - there are so many...
When someone opens an email you sent using RealtyJuggler, the status will automatically change from Sent to Sent+Read. You can review all of the sent mail by going to Main:Mail:View ALL Mail. Percentage statistics are displayed in the upper-right corner of that screen. Additional information on this feature is available at this link.
We have identified several vendors that provide postcard printing at affordable costs. Information is available at: Main:Mail:Postcards. In our experience the costs for having someone print postcards for you is quite low. You can use RealtyJuggler to print mailing labels (Main:Mail:Labels) or export mailing lists (Main:Mail:Export Mailing List).
Your Contacts database is the best place for vendors. Add a category that represents what kind of vendor that the person is. For example "Painter" or "Plumber". That way, you can easily find any kind of vendor easily.
If you would like to put together a list of vendors you are recommending, use a deal record (Prospect, Buyer, Listing or Closing) click on the "Parties" tab from the detail view of your deal record. Create a new Party by clicking on the "New Party" button at the top of the screen. Click on the "First Name" field and click on the "Look Up Contact" to connect your contact record. Create as many Parties as you like. You can use the "Role" and "Description" field to describe the vendor in detail and the Notes field to add custom notes. Use the "Service Report" tab to provide a link to the collected information or a downloadable document summary.
If a friend asks you for a simple single Vendor recommendation, email them a vCard file. From the detail view of your Contact record, scroll to the bottom, and click on the "Download vCard" link. If you have synchronized RealtyJuggler with your smart phone, you can also do that from the Contacts application of your smart phone. Remember - the notes for your contact record be included with your vCard.
We recommend loading your neighborhood into your Prospects database (see Video Tutorial 01a). You can then sort your Prospects by address by clicking on the "Address" column title (See Video Tutorial 21).
Emails sent using RealtyJuggler are sent using our servers but using your from email address. We do this to assure the highest level of deliverability and to automatically track bounce backs and spam complaints. You can configure the @ icon to the right of the email addresses within RealtyJuggler to send emails using your email program. Page 37 of the below manual shows how to do that:
RealtyJuggler Mail.
Global tasks are tasks that are not related to any listing, deal or person in your database. For example, if you need to pick up some milk and bread before heading home, that would be a good Global Task.

That message means that you checked off the checkbox to prevent alerts from being displayed. RealtyJuggler can't operate without these alerts. To reset this preference, close all open browser windows and close your browser. Sign back into RealtyJuggler. To avoid this from happening again, don't check off the check box that prevents alerts from being displayed.
RealtyJuggler has a Promotions tab inside of the Listing record that can be used to track your promotional activities. Here's a video that shows how that works: Listing Promotions

A role email address is one that uses a job description as the email address (for example sales@TopAgent.com). Role email addresses are built for functions, not people. In other words, the person reading that email could change from one day to the next. Sending bulk email to these kinds of email addresses have a higher level of spam complaints (which could jeopardize email deliverability) and for that reason, RealtyJuggler does not send bulk email to "role" email address.
There are a few parties that are required for each deal record. For example, it is not possible to delete the Buyer party from a Buyer record. Instead, you should empty the contact information from the party. If you have linked a Contact record to your Party, you can unlink it by clicking on the "First Name" label and selecting the menu item "Unlink".
Yes, RealtyJuggler has the ability to both import and export in vCard format. You can export by going to Main:Settings:Export and you can import by going to Main:Settings:Import.
Probate records should be loaded into Prospect database under the name of the Executor. To import, go to Main:Settings:Valet Import and make a Valet Import request. We will create a custom importer just for you that matches with the data format you are using. You can then import your probate data on your own after that initial request.
The property address of the deceased is mapped to the Property Address of the Prospect record. The Mailing Address and name of the Prospect record will be mapped to the person responsible for handling the disposition of the estate.
Additional information, such as the name of the deceased, additional contact information, next of kin, date of death will be added to the Notes field.
Additional parties (attorneys, banks, multiple next of kin etc.) should be added manually to the Parties tab of the Prospect record. While we can load some of this information into Notes, you must re-enter that information again into the parties tab if you intend to send letters to these parties.
There are 4 custom fields that are available for loading specific pieces of mail merge data for your letters.
Handling Probate leads requires both an automated process, strong technical proficiency, as well as a willingness to hand enter a significant amount data. Due to the variation in data as well as numerous parties involved, a significant amount of data must be entered by hand.
Valet Import mappings for Probate leads are limited to mappings as described in this FAQ entry. We are not able to provide Valet mappings that differ materially our recommended mappings for Probate leads.
You can edit the labels for your custom fields by going to Main:Settings:Preferences:Contacts.
Yes. We recommend using Google Sync located at Main:Settings:Google Sync to sync contacts and calendar.
You will also want to change the default file format for letters, labels, and reports from .rtf to .pdf. Those settings are located at Main:Mail:Letterhead:Printed, Main:Mail:Letterhead:Labels, as well as Main:Settings:Preferences:Calculator.
Create a "Home" record for each investment property. From the Home record, click on the "Owner" tab, look up your investor's contact record. All investment properties will be listed in the "Backlinks" tab inside of your investor's contact record. When it is time for your investor to sell a property, create a "Listing" from your investor's "Contact" record using the "Transfer" tab. From the "Listing", click on the "Property Address" field, and look up the Home record that represents the property to be sold. That way, you eliminate any duplicate data entry.
Here's a video that will be helpful: Tutorial 36 - Homes Database
You can export your data by going to Main:Settings:Export. If you export using the CSV Outlook format, the CJ column for both Contacts and Prospects. RealtyJuggler exports many columns, so you will need to scroll to the right when opening your .csv file in a spreadsheet program like Excel. RealtyJuggler can also synchronize your data with Gmail and that synchronization also includes the Spouse name.

We recommend that you take a look in the App Store for your smartphone. Both iPhone and Android phones have business card scanning software that will turn a business card into a Contact record on your phone. We have tested Business Card Scanner by Covve. It works seamlessly across both Apple & Android platforms and makes it easy to immediately add them to your Contacts. From there, you can use RealtyJuggler Google Sync to get that information into RealtyJuggler.
We recommend getting an App for your phone that will allow you to take pictures of your documents and converts them into PDF files. TurboScan is a popular option. From there, you can attach that pdf document to a deal record either by loading it or attaching a google drive folder. This video shows how:
Video 37 - Notes & Files
"Closed" means that Closing has happened. "Completed" means that you have picked up your commission check, and have updated the mailing address of your client in their Contact record. You also may have optionally added the annual anniversary for closing to the contact record. The AutoTasks will step through this process for you.
The status of "Pre-Close" means that you are ready for closing, but closing has not yet taken place.
Here's a video on how to configure SMS Texting: SMS Texting
We do not offer bulk texting from RealtyJuggler. However, we do offer text message chat. This video shows how that works:
Tutorial 74
at around the 4:46 minute mark.
Bulk texting requires prior written permission, whereas text message chat does not.
For this reason, we offer the most legally permissible option.
We do integrate with a few third party vendors that offer bulk text:

Here's a link to instructions on how to integrate Facebook Leads with RealtyJuggler: RealtyJuggler Partners.
If you are looking to feed leads from almost any lead source, you can use Email feed. Here's How: Email Feed.
Here's a link to instructions on how to use Zapier to feed Facebook Leads into RealtyJuggler: RealtyJuggler Partners.
Yes. Information on that feature is located at Main:Settings:Phone:Call Capture. Give us a call for additional information.
The letter library has both English and Spanish versions of the letters. Also, all of the video tutorials have Spanish sub-titles. Finally, you can enter Spanish language information into any of the text fields within RealtyJuggler.
If you are using EmailFeed (Main:Settings:Email Feed) to get leads into your Prospects database, we will send an email (and optionally an SMS Text message) to you, letting you know that you have a new lead. We do not send an email to your prospect.
Many lead sources will send your Prospect an email when your prospect clicks on the Submit button from that web site, for example Zillow,Realtor.com, and Trulia.
We recommend calling or texting your lead as quickly as possible. Your prospect is likely browsing the internet and interacting with additional agents at the same time you are getting your lead. The first agent make meaningful contact with that prospect wins. Automated responses are insufficient to short-circuit this process.
To have your password filled in on your iPhone, tap on that password field and then tap on the "Password" button on the soft keyboard. If there is no "Password" field on your soft keyboard, you can enable it by going to the Home screen, tapping on the "Settings" icon, then the "Safari" icon, and then "AutoFill" and enabling the "Names and Passwords" option.
RealtyJuggler has eCards for wedding anniversary located in the "eCards - Occasions" library. This video shows how to use:

RealtyJuggler is designed to be used by agents and their assistants with little or no training. It is not unusual for an agent to hire an inexperienced assistant and RealtyJuggler is the perfect solution for that kind of situation. This simplicity is achieved through a consistent user interface. Once you learn how one screen works, that knowledge will work for all of the other screens too. Simplicity also means that you will see the same user interface on your phone, an iPAD, as well as a personal computer. The screen is not cluttered with distracting information. Instead, each screen is focused on getting the job done. RealtyJuggler is geared towards quickly achieving specific results, like sending a bulk eCard for Halloween, printing mailing labels, or making follow up phone calls.
Yes, many RealtyJuggler flyers have a location for a QR code. To use, create your QR code using any of the free QR code generators like:
https://www.qrcode-monkey.com/
and save as an image. Open your flyer using Adobe Reader and click on the QR code and pick the new QR code you just created.
You can edit your labels settings by going to Main:Mail:Letterhead and clicking on the Labels tab at the top of the screen.
We recommend that you use a reputable third party service for that. A few that are well respected are Google reviews, Yelp! and Facebook.
The best leads are those of someone looking to buy or sell a home now. Leads like these are time sensitive and are best fed live to RealtyJuggler using Email Feed. We recommend responding within 15 minutes of getting the lead. Good sources of leads like these are Zillow, Trulia, a mortgage broker, or your own web site. You should expect that you will be one of many agents that this prospect will be interacting with. So, we recommend being as specific and useful as possible. Find out the life circumstance that caused the person to want to buy or sell and address that directly. Spend time researching any homes the person has inquired about and offer to show them the home as soon as possible. After making initial contact via text message, a phone call or drop by, put the prospect on a DRIP sequence that is specific to their life circumstance. RealtyJuggler has more than 50 sequences to select from, so your communication will speak directly to what the prospect is looking for.
Expired, FSBO's, and Probate leads are another kind of lead source. These kinds of leads are weaker than live buyers or sellers and typically take multiple months to incubate. Leads like these are best handled using multiple forms of contact, with the first form of contact being a door knock to introduce yourself. Use USPS mail, drop a written presentation by, use SMS text messaging, and a phone call to raise awareness. While email can sometimes be useful, we recommend not starting with email. Start by introducing yourself, then use email to maintain awareness. RealtyJuggler has DRIP sequences that are specific to the kind of prospect - FSBO, Expired and so on. There is a good chance that you won't have an email address. If that is the case, you can print those letters and mail them by USPS.
A geographic farm list is useful for sending printed material via USPS, or door knocking. Since people on this list are typically not looking to buy or sell a home, it may take years of incubation to generate income from this approach. Get to know your geographic farm. There is no replacement for face-to-face interaction. Postcards can be useful to build a presence. USPS has a program called EDDM, which allows you to send a postcard to everyone within a geographic area for a discount. Email communication to a geographic farm is not recommended, unless you have first developed a relationship with the recipient.
These kinds of leads are weaker than live buyers or sellers and typically take multiple weeks to incubate. The most important thing to consider is that the seller has a reason why they aren't using a real estate agent. It is critical to find out that reason and address it directly. For example, if the real estate market is hot, the seller may not want to pay 6% commission. But, they may be willing to pay 3% if you bring a buyer to the table.
Leads like these are best handled using multiple forms of contact, with the first form of contact being a door knock to introduce yourself. Use USPS mail, drop a written presentation by, use SMS text messaging, and a phone call to raise awareness. While email can sometimes be useful it is by far the weakest form of communication for this kind of lead and we recommend not starting with email. Start by introducing yourself, then use email to maintain awareness. RealtyJuggler has DRIP sequences that are specific to the kind of prospect. The standard Letter Library has the DripGroup: ProspectSellerFSBO and the Exotic Letter Library has the drip sequence DripGroup: SellerFSBOHelpful. Printing these letters and sending by USPS is likely your best approach.
These kinds of leads are weaker than live buyers or sellers and typically take multiple weeks to incubate. The most important thing to understand is why the home did not sell with the previous agent. Was the last agent lazy? Did the house show poorly? Perhaps the price was wrong? Figure out what went wrong and promise that you won't make the same mistake that last agent made. the Seller likely has a negative impression about real estate agents in general, so you will need to demonstrate why you are not like all the other agents out there.
The Standard Letter Library has the drip sequence DripGroup:ProspectSellerExpiredListing that will be useful. Printing these letters and sending by USPS is likely your best approach.
You can see the expire date for your account by signing in and clicking on the Account link in the upper-right corner of the screen. You can update your contact information and purchase your membership at that same location.
We recommend using categories for that. Just add a category of "Dead" to the prospect record. Alternatively, you can export that record and then delete it.

The primary benefits of RealtyJuggler is that is easy to use and comes with fantastic technical support and training. If you need help, we are just a phone call away. Free CRM's often lack features, usually lack good phone support, and will probably up-charge for useful features. If you ever become frustrated with your free CRM, please think of RealtyJuggler. We won't leave you waiting on hold and we don't up-charge you for essential features. Sometimes a free product is worth exactly that - nothing.
Each record in RealtyJuggler has a Service Report tab. When you click on this tab, you can see a summary of all of the information in that record. This summary is suitable for printing, review or even emailing to someone. For example, you can email a link to the Listing records' service report to your client and they can click on the link and see all of the showings that have taken place for that listing.
We recommend that you add the middle name to the end of the First Name field. You can also edit the way you address letters and greet someone within an email by clicking on the Address tab inside of the contact record. That way, you can decide to use the middle name (or initial) for addressing letters, but use the first name without the middle name when greeting someone within the email (or letter) itself.
You can use the Parties tab to enter additional parties to a transaction. In your case, click on that Parties tab, click "New Prospect" and change the "Role" drop-down to represent your tenant.
United States Postal Code (USPS) guidelines recommend two spaces between state and postal code.
The OptOut link and your return mailing address is added to all of your outbound emails to comply with federal law and to maximize deliverability of your emails. It is not removable. You can edit your return mailing address by going to Main:Settings:Preferences:Mail.
The AutoTasks for Closing records will go away once the status of your Closing has been changed to "Complete". If you have old tasks for Touch Cycle, click on the body of the task. That will take you to the record where you have set up your Touch Cycle. Change the "Contact Every" drop-down to "Stop Contacting".
Yes, the preference you are looking for is located at Main:Settings:Preferences:General and is called "Remember Scroll Position for Lists".
You can also delete or edit categories for multiple records using the Select Multiple Records feature. Video Tutorial 41 shows how to do that.
YES! What would you do if a dear friend of yours asked you to help sell their house? We recommend partnering with a younger agent who you can mentor and feed leads to. Your database is gold in the right hands, and you can still generate revenue by acting as an intermediary and elder statesman to a younger agent. Instead of abruptly retiring, consider reducing your hours instead. This strategy is common practice for other professionals such as Attorneys, Doctors and Dentists and provides a win-win situation for both the younger agent as well as the retiring agent.
YES! We recommend printing mailing labels like this:
Tutorial 11 - Mailing Labels/Envelopes
We recommend you send Christmas cards in the mail (not email) to everyone that you know, and perhaps even some people you don't know. Multiple studies have shown that professional Christmas cards sent in the mail have one of the highest levels of engagement of any form of communication.
We recommend that you let us know what columns you are looking to add. We are always looking for ways to improve RealtyJuggler and your feedback is much appreciated.
>We might already have those columns in another database. For example, the Buyer's database has columns for city, price range and home features. All of the database list views also offer Categories / Extra Status values, which allows for information like CashBuyer, ColdLead and so on.
you can edit the list of Referral Sources by going to Main:Settings:Preferences:General. We recommend that you only add common referral sources to that list. The Referral Source field is a text field and you can type anything you like into it. The Referral Sources accelerator menu is best used for common referral sources.
We recommend that you use the Referral Source field to list the general source of the lead. For example, Open House. The Source Info field can optionally add additional information about the Referral Source, for example, the address of the open house. These two fields are particularly useful if you have multiple contact me forms on your web site or various web sites. It would allow you to track which forms are producing the best results for you.
Each RealtyJuggler account can have up to 5,000 contact records and an additional 5,000 prospect records for a total of 10,000 records. Contact records are for past clients other agents vendors, and other people you know. The Prospects database is for strangers, unqualified leads, and farm lists. If you have a large office, this would be an individual limit for each team member. Configuration is described in this video:
Tutorial 09 - Sharing for an Office
For a small work-group, this 10,000 limit would be for the work-group. This video shows how to configure for that:
Tutorial 08 - Sharing with a Partner/Assistant
Matterport has the ability to create a teaser video of your 3d model. You can save that teaser video as an animated gif or an mp4. The animated GIF format can be uploaded into RealtyJuggler and the mp4 can be uploaded to YouTube, Vimeo, VidYard, BombBomb or Loom. Either can be embedded into your RealtyJuggler Mail Form. Give us a call and we can walk you through the process over the phone.
BackLinks are a way to see what databases are connected to a record. To demonstrate, go to any Contact record. Click on the Appointments tab and enter a description, date and time. Add that Appointment to your Calendar. Click on the blue >> arrow to the right of that appointment to go to the individual Appointment record in your Calendar. Click on the Backlinks tab on the left and you will see your Contact record listed. Click on that row to go back to that Contact record.
You can connect Appointments to Contact and deal records like that. You can also connect Contact records top deal records using the Parties tab like that as well. That way, when you click on the Contact record that represents a loan officer that you have worked with on several deals, click on the Backlinks tab and you can see all of the deals that your Loan Officer worked with you on.
You can connect Home records as well. For example, if you have an investor who owns several properties, you can create a Home record for each property. Click on the Owner tab inside of each Home record and click on the First Name field. Select Look Up Contact menu item and pick the Contact record that represents your Investor. Once you have done that, you can click on the Backlinks tab inside of the Contact record of your Investor and see all of the Home records that investor owns as well as all of the deals you have done with that Investor.
RealtyJuggler adds the category 'Unread' to Contact and Prospect records when you send several emails in a row and they are not read. The two most common reasons for this are sending to an old email address, and having your emails pre-positioned in the junk email folder by a spam filter. We recommend giving these recipients a call to get their latest email address and have them pull your email out of the junk email folder. This will maximize your email deliverability and maintain a good email reputation.
