Tips for RealtyJuggler Categories
Go to Main:Settings:Preferences to edit categories. Click on the appropriate tab at the top to select which category list you want to edit. Edit the list of categories just like a text field. Put each category on its own line. If you need to add a category, click to the right of an existing category and press return. Type the category in the blank space created by your return key press.
RealtyJuggler regenerates categories if there are records that use that category. If you remove the category from the list, it will come back if it us used by any records. Video Tutorial 03 has detailed instructions for how to eliminate a category that has records associated with it.
The * is used as a wildcard category filter. For example "*Field" will match categories of "BroomField" as well as "Field" and "SouthField". The * can be used at the beginning or end of a category filter name. For example, "Church*" will match "Church Active" as well as "Church Past" and "Church". The * is not permitted as part of a category inside of a record as it is used for this special wildcard filter.
To display all records that are NOT in a category, place the text NOT in front of the category name in your category list. The category will look like this: "NOT Christmas" and will display all records that do not have the category of Christmas associated with them.
To display all records in multiple categories use OR between the categories. The category will look like this "Buyer OR Seller" and will display all records that have the category Buyer as well as all of the records that have the category Seller.
The "CallNow" category is automatically added to prospects that are created using EMailFeed. That category is automatically removed once the "Last Contact Date" is set. An AutoTask is also automatically generated to remind you to call your prospect. Mark that task done and the "CallNow" category is removed and "Last Contact Date" is updated.
You can generate your filter using OR by selecting the "Select Multiple" menu item from the "Show Category:" drop-down menu in the upper-right corner of the Main:Contacts or Main:Prospects screens. This will return a list of all of the records that contain any of the categories you select
You can sort the Main:Contacts or Main:Prospects so that you can see all of the records that contain multiple categories at the same time, which is similar to the AND operation by using the "Select Multiple" menu and then sorting by the Categories column. Click the Categories column a second time to so that the pyramid icon is upside down. This will display records first that have the most matching categories.
Syncing with Multiple Google Calendars
Teams that would like to assign tasks and appointments to team members should add the email address of each team member to the Task Categories and Calendar Categories lists. These lists can be editing by going to Main:Settings:Preferences and clicking on the Tasks and Calendar tabs at the top of that screen. To assign a task or appointment to one team member, set the category of that task or appointment to that team member's email address. If you are using Google Sync, the check-box "Categories to Guests" on the Google Sync screen provides a way to use the Guests option in Google Calendar. Make sure that the email address in your category list is a Gmail email address. Google will add that individual appointment to each appropriate Google calendar when you synchronize with RealtyJuggler.
Setting an Event Color for a Google Appointment
Google Appointments can be assigned an individual event color from Google. These colors are translated into RealtyJuggler categories with the category name matching the color name. This can be a handy way to categorize your Appointments in such a way that the categories are displayed visually within the Google Calendar. Use these colors to specify which team members are assigned which appointments. Or, assign different colors for different kinds of appointments - one color for showings and a second for prospecting activities. The easiest way to see how this works is to create a few appointments from Google and assign colors to these appointments. Synchronize with RealtyJuggler and see the category colors that show up as categories.
The list of color names are as follows: blue, green, purple, red, yellow, orange, turquoise, gray, boldblue, boldgreen, boldred.
